Office Manager / PA to Director Needed in Cape Town CBD
We are looking for:
a self-motivated, dynamic office manager who is capable of:
Working under pressure and meeting tight deadlines. An interest in design/ graphic design/
Web design would be an added bonus. A candidate with knowledge and experience in local
Government or the building industry (planning, engineering, architectural firms) would be Preferable.
Job Scope:
Overall office management:
Day to day office administration, scheduling meetings, stationary, office organisation, minutes, travel arrangements, car hire, meetings and catering.
Company marketing/ promotions
Manage company profile, update website, manage procurement of business cards etc
Finance:
Financial management of projects – set up project cash flow, manage invoices, subcontractor, payments, budget reconciliation, filing and management of documentation required for company audit
Management of documentation for BBBEE registration and accreditation
HR Role Duties:
Drafting and updating staff contracts, leave records, staff wellbeing, management of
travel claim, management of attendance records and timesheets
Project Administration:
Project record keeping, document and information filing, minutes, setting up meetings, project finance (described above)
Management of tender preparation and compilation for government tenders
Essential Qualifications & Skills:
Office Management/ B. Admin
Fully competent in MS Word, Excel and PowerPoint (the candidate will be expected to
perform tasks in these programmes to demonstrate knowledge of proper formatting)
Strong language skills – ability to write in correct business English
Additional skills:
Web design, Knowledge of Adobe InDesign
Ability to speak/ read/ write Afrikaans and/ or Xhosa
